Essential Job Responsibilities/Duties/Tasks include the following and other duties may be assigned:

  1. Assist in financial tracking: payroll, purchase order requisitions, vendor invoicing, soliciting vendor bids, and weekly/monthly reporting. 2. Keeps hazardous waste, SPCC, SDS, fuel inspections data and compliance files. Up to date filed and report on time.
  2. Maintain employee training files.
  3. Provide administrative support for the Vehicle Maintenance Manager(s)
  4. Perform accurate and timely data entry including creating files and spreadsheets for tracking use & cost of vehicles. Update and maintain fleet readiness spreadsheets
    6. Monitor, and reconcile department budgets, project tracking, and invoice processing with accounting departments.
    7.When necessary, source and purchase department supply and parts by creating and reconciliation of purchase orders in Microsoft D365
    8. General administrative duties including composing and responding to emails, answering phones, responding to voicemails, filing, email, Dept administrative needs, and other duties as assigned.
    9. Engages with company and community stakeholders in a positive and productive manner.

10.Responsible for keeping track of parts room inventory and organization.

11.Perform hazardous waste management including handling and transporting products. Complete inspections and identifying issues.

12.Oversee fuel system maintenance and reporting. Perform routine maintenance or schedule service for repairs.

  1. Facilitate vehicle maintenance related trainings: hazardous waste, SPCC, SDS, CHP, and bus mechanic.
  2. Schedule and track CHP 45-day bus inspections

Competencies and Job Requirements:

  1. High School Diploma or GED
    2. 18 months prior experience in customer/service office environment; or equivalent combination of education and experience.

Preferred:
1. 18 months prior experience
2. Experience in the ski resort and/or maintenance/construction industry
3. Experience with computerized office and fast paced business environments

While performing the duties of this job, the employee is regularly required to walk, talk, see, and hear. Sits for extended periods of time at a computer station or work desk; stands and walks regularly throughout the day; uses hands and fingers to operate computers, office equipment and shop equipment for up to 8 hours each day; lifts up to 40 pounds regularly; exposed to office environment as well as vehicle maintenance department conditions and noise levels. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perceptions and the ability to adjust focus.

Working Conditions:

Indoor/Outdoor: While performing the duties of this job, the employee will frequently be exposed to outside weather conditions. The employee will frequently be exposed to extreme cold, wetness and/or humidity, and occasionally blizzards and extreme storm conditions.

Hazardous Materials/Noise: The noise level in the workplace is usually moderate. Hazardous materials include petroleum products, fuel and waste products.

Equipment Used in Job: General office equipment, dolly/ hand truck, shovel.

Experience

Required

  • 1 year(s): 18 months prior experience in customer/service office environment; or equivalent combination of education and experience.
